What is Peppol?

Peppol (Pan-European Public Procurement On-Line) is a global network that simplifies the electronic communication of business documents, such as invoices, orders, and catalogs. It is based on a technical infrastructure and standardised formats that enable secure and efficient transmission of electronic documents between companies and organisations, both within the EU and internationally.

Originally, Peppol was a means of sending e-invoices to customers within the public sector across the EU, and since 2020, it has been a requirement in Sweden to be able to send Peppol invoices in Sweden following a procurement. It has replaced earlier initiatives such as Svefaktura in Sweden, EHF in Norway, and is also replacing Finvoice/TIEKE in Finland. Nowadays, over 90 countries are represented in the PEPPOL Directory, with Norway, Belgium, Australia, and Sweden being the largest.

Peppol was initially developed as an EU standard but is now used by companies worldwide. There are also registered companies in Canada, Singapore, the USA, and Australia. This makes it a potential global standard for easily activating and exchanging electronic transactions worldwide in a future-proof manner.

Brief on the Technology

Peppol is a secure international network that allows companies to exchange business-critical electronic documents with other companies. It supports various message types, such as price catalogs, orders, order responses, delivery notifications, and invoices. Communication within the Peppol network occurs through access points, where the Peppol network serves as an address directory with certified access points that are allowed to communicate with each other using AS4 and a predetermined standard, PEPPOL BIS 3.

Getting started with Peppol involves several steps to ensure that your business can send and receive e-invoices and other business documents through the network. Here are some important steps to consider.

One step at a time

  • Understand Peppol and its requirements

    Determine which document types (e.g., invoices, orders, order confirmations) you need to handle.

    Check if Peppol is mandatory for your business (e.g., transactions with the public sector).

  • Analyse Your Systems and Processes

    Map out your existing systems.

    Do you have an ERP or billing system? Can it support Peppol formats? Identify any gaps.

    Does your system need an upgrade or an add-on to send/receive Peppol documents? Review technical requirements like PEPPOL BIS standards and formats.

  • Choose an Access Point

    A Peppol Access Point acts as your gateway to the network. All Peppol documents are sent and received through these.
